This policy explains what information Line Dancing Directory collects, why, and what you can do about it.
Information we collect
- Account details if you register: your name, username, email address and a scrambled (hashed) password. Your real name is never shown publicly. Anywhere other people can see your activity, we show your username.
- Clubs you add: the club details you give us, including a club email address and phone number, which we keep private.
- Requests to manage a club: your name, email, phone number, your connection to the club and any proof you upload. Proof files are stored privately and only our team can see them. If the club already has admins, they see your username and connection so they can approve you.
- Photos you upload: we remove location and camera data before publishing. We keep the original file privately for up to 90 days in case of problems, then delete it.
- Suggested changes and points: what you suggested, when, and the points you earned. Your username, points and badges appear on the community leaderboard.
- Location searches: if you use Find me, your browser shares your approximate location once so we can show nearby clubs. We don't store it against you. Postcodes and places you search for are looked up and may be cached without being linked to you.
- Club information from public websites: our crawler reads line dancing clubs' own websites for details they publish, such as class times, the venue, the instructor's name and a club email address or phone number. Our team checks it before anything is listed, and club email addresses and phone numbers are kept private. To have anything removed or corrected, email us.
- Technical information such as your IP address and browser, kept in server logs for security.
Cookies
We use a session cookie to keep you logged in and to protect forms. It's essential and doesn't need consent. We also remember your cookie choice in a cookie called cookie_consent for a year.
Analytics and advertising cookies are only set if you choose Accept in the cookie banner. You can change your mind at any time using Cookie settings at the bottom of every page.
Who else is involved
- Google Analytics, to understand how the site is used (only with your consent).
- Google AdSense, to show adverts that keep the site free (only with your consent). Google may use cookies to personalise ads. See how Google uses information from sites that use its services.
- Cloudflare Turnstile, to check forms aren't being filled in by bots. This is a security measure and runs without consent.
- postcodes.io, to turn a postcode or town into a location.
- Mapbox, for map images, if enabled.
- Postmark, to send account emails.
- Slack, which our team uses to be told when something needs reviewing. These messages include your username and the club name, not your contact details.
- Our hosting provider, which stores the site and its database.
Why we use your information
We use your account and contributions to provide the service you signed up for (contract). We check club claims, prevent abuse and keep logs to protect the site and its users (legitimate interests). We only use analytics and advertising cookies with your consent.
How long we keep it
- Account information is kept until you delete your account, which you can do from your account page.
- Club details and approved photos stay on the directory after your account is deleted, without your name attached.
- Requests to manage a club, and any proof files, are kept until you delete your account.
- Server logs are kept for a short period for security.
Your rights
You can ask to see, correct or delete the information we hold about you, object to how we use it, or withdraw consent at any time. Email [email protected]. You can also complain to the Information Commissioner's Office.
Children
Accounts are for people aged 13 and over. Please don't upload photos that show children.
